Business Email Setup in Mansfield

A quote sent from a gmail.com address costs you work you will never hear about. So does one from your own domain that lands in the customer’s spam folder.

Email on your own domain does two things. It looks like a business rather than a hobby, and — done correctly — it actually arrives.

The second part is the bit almost nobody handles. There are three DNS records that tell the receiving mail server your messages are legitimate: SPF, DKIM and DMARC. Without them, mailbox providers treat your mail with suspicion, and increasingly reject it outright.

We set the mailboxes up, migrate what you have, and configure those records so your invoices and quotes reach people.

What you get

Mailboxes on your own domain

you@yourbusiness.co.uk rather than a free provider. Set up on Google Workspace or Microsoft 365 depending on what you already use.

SPF, DKIM and DMARC configured

The three records that decide whether your mail is trusted. Most small business domains have none of them set up correctly.

Existing mail migrated

History, contacts and calendars moved across, so nothing is lost and nobody has to start again.

Working on every device

Phone, tablet, laptop, webmail, all synced. Set up and tested rather than left as instructions.

Shared mailboxes and aliases

info@, accounts@, sales@ routed to the right people, with shared access where more than one person needs to see it.

Sensible security

Two-factor authentication and a documented process for removing access when somebody leaves — the step almost every small business forgets.

Google Workspace or Microsoft 365?

Google Workspace is simpler, works well on any device, and suits businesses that live in a browser. Around £5 to £12 per user per month.

Microsoft 365 is the better answer if you rely on desktop Excel, Word and Outlook, or work with organisations that expect Office documents. Similar pricing, and it includes the desktop applications on the mid tiers.

For most small local businesses, Google Workspace. For anyone doing serious spreadsheet work or dealing with corporate clients, Microsoft. Both are fine; the wrong one is mildly annoying rather than a disaster.

Why your email goes to spam

In order: missing or incorrect SPF and DKIM records. Sending from a free address while claiming to be your business. A domain with no sending history suddenly sending in volume. Or being on shared hosting where another customer has been sending spam from the same server.

The first is a twenty-minute fix and by far the most common. It is worth checking even if you do nothing else on this page.

What affects the price

From £5/month is a genuine starting point, not a teaser. Here is what moves it, so you can work out roughly where you would land before you ring us.

  • How many mailboxes are needed
  • Google Workspace or Microsoft 365 — priced per user by the provider
  • Whether existing mail and contacts need migrating
  • Shared mailboxes, aliases and distribution lists

Why local matters here

Business Email Setup — the Mansfield picture

We still see plenty of established Mansfield businesses trading on a Hotmail or BT address. It works, but it quietly costs credibility — particularly when quoting against a competitor who is on their own domain.

Moving is cheaper and less disruptive than people expect. The mail history comes with you, and it usually takes an afternoon.

Business Email Setup — your questions

How much does business email cost?

Google Workspace from about £5 per user per month, Microsoft 365 similar. Our setup and migration is a one-off fee, typically £95 for a small team.

Will I lose my old emails?

No. We migrate the history, contacts and calendars across before switching anything over.

Can I keep my current email address?

If it is on your own domain, yes — same address, better platform. If it is a free provider address, you would be moving to a new one, and we set up forwarding so nothing is missed while you tell people.

Do I need this if my website host includes email?

Included hosting email is usually adequate for very low volume and noticeably less reliable at scale. If email matters to your business — and for most it matters more than the website — it belongs on a dedicated platform.
